This privacy policy (Policy) gives you information about how Knowledgebridge collects, uses and protects your personal data through your use of this website (Site), including any data you may provide when you register with us, sign up to receive updates, or purchase a product or service through our Site. This Site is not intended for children and we do not knowingly collect data relating to children.

1.Types of personal data we collect about you

1.1 Personal data means any information about an individual from which that person can be identified. We may collect, use, store and transfer different kinds of personal data provided by you, such as:

  • Financial Data (such as bank account and payment card details).

  • Transaction Data (such as details about payments to and from you and other details of products and services you have purchased from us)

  • Marketing and Communications Data (such as your preferences in receiving marketing from us and your communication preferences)

1.2 We also collect, use and shareaggregated data such as statistical or demographic data which is not personal data as it does not directly (or indirectly) reveal your identity. For example, we may aggregate individuals’ Usage Data to calculate the percentage of users accessing a specific website feature in order to analyse general trends in how users are interacting with our website to help improve the website and our service offering.

  • Performance of a contract with you: where we need to perform the contract we are about to enter into or have entered into with you.

  • Legitimate interests: we may use your personal data where it is necessary to conduct our business and pursue our legitimate interests. A legitimate interest is a compelling reason for using your personal data, which is always assessed to ensure it is balanced against your rights and interests.   • Compliance with legal obligations: we may need to process your personal data to comply with a legal obligation to which we are subject, such as ensuring we do not provide access to our products or services in countries where we are not permitted to do so.

3.5 Third-party marketing: We will get your express consent before we share your personal data with any third party for their own direct marketing purposes. 

3.6 Opting out of marketing: You can ask to stop sending you marketing communications at any time by logging into the website and checking or unchecking relevant boxes to adjust your marketing preferences or by following the opt-out links within any marketing communication sent to you. If you opt out of marketing communications, you will still receive service-related communications that are essential for administrative or customer service purposes, for example, relating to order confirmations for a product/service, appointment reminders, checking that your contact details are correct, etc.

4. Disclosures of your personal data

4.1 We may share your personal data where necessary with the following categories of recipients, for the purposes set out in the table in section 3 above:

  • Third party processors and subcontractors supporting our Site (e.g. web-hosting providers) or services provided through the Site (e.g. secure training platform provider) or otherwise providing business function support to Knowledgebridge (e.g. tax advisers);

  • Third parties to whom we may choose to sell, transfer or merge parts of our business or our assets. Alternatively, we may seek to acquire other businesses or merge with them. If a change happens to our business, then the new owners may use your personal data in the same way as set out in this privacy policy.

4.2 We require all third parties to respect the security of your personal data and to treat it in accordance with the law, and have appropriate agreements in place to meet applicable legal obligations.. We do not allow our third-party service providers to use your personal data for their own purposes and only permit them to process your personal data for specified purposes and in accordance with our instructions.

5. International transfers

5.1 We may transfer your personal data outside the UK where any processor or subprocessor is located elsewhere. Where we transfer your personal data outside the UK to countries which have laws that do not provide the same level of data protection as the UK, we always ensure that appropriate contractual, technical and organisation measures are in place to ensure an adequate level of protection is in place to protect your personal data. We may implement UK standard contractual clauses or another appropriate data transfer mechanism. 

6. Data security

6.1 We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal data to those employees, agents, contractors and other third parties who have a business need to know. They will only process your personal data on our instructions and they are subject to a duty of confidentiality.

7. Data retention

7.1 We will only retain your personal data for as long as reasonably necessary or permitted, to fulfil the purposes for which it was collected, including for the purposes of satisfying any legal, regulatory, tax, accounting or reporting requirements. 

7.2 The criteria we use to determine our retention periods include:

  • The length of time we have an ongoing relationship with you and where we have legitimate interests to further retain your personal data as set out in this Privacy Policy;

  • Any legal obligations to which we are subject e.g. by law we have to keep basic information about our customers (including Contact, Identity, Financial and Transaction Data) for six years after they cease being customers for tax and audit purposes;

  • Where retention is advisable due to our legal position (such as in relation to applicable statutes of limitations, in the event on a complaint, or if we reasonably believe there is a prospect of litigation or regulatory investigation)

  • Any applicable guidelines issued by relevant legal and data protection authorities.  

7.3 In some circumstances we will anonymise your personal data (so that it can no longer be associated with you) for research or statistical purposes, in which case we may use this information indefinitely without further notice to you.

8. Your legal rights

8.1 You have a number of rights under data protection laws in relation to your personal data, including:

  • Request access to your personal data (commonly known as a “subject access request”). This enables you to receive a copy of the personal data we hold about you.

  • Request correction of the personal data that we hold about you. This enables you to have any incomplete or inaccurate data we hold about you corrected. 

  • Request deletion of your personal data, subject to exemption or restrictions that may apply.

8.2 We may need to request specific information from you to help us confirm your identity and ensure your right to access your personal data (or to exercise any of your other rights). This is a security measure to ensure that personal data is not disclosed to any person who has no right to receive it. We may also contact you to ask you for further information in relation to your request to speed up our response.

8.3 We try to respond to all legitimate requests within one month. Occasionally it could take us longer than a month if your request is particularly complex or you have made a number of requests. In this case, we will notify you and keep you updated.

11 Changes to this Policy and your duty to inform us of changes

11.1 We keep our privacy policy under regular review. This version was last updated in January 2025. Historic versions can be obtained by contacting us via email at info@knowledgebridge.ai

11.2 It is important that the personal data we hold about you is accurate and current. Please keep us informed if your personal data changes during your relationship with us, for example a new email address.

12.1 This website may include links to third-party websites, plug-ins and applications. Clicking on those links or enabling those connections may allow third parties to collect or share data about you. We do not control these third-party websites and are not responsible for their privacy statements. When you leave our website, we encourage you to read the Privacy Policy of every website you visit.
